1. Introduction

Propfile is a digital property registry, ownership verification, ownership transfer, and anti-theft platform designed to help individuals and businesses register assets, verify ownership, report theft, and reduce fraud in second-hand transactions. This Privacy Policy explains how we collect, use, store, and protect your information. By using Propfile, you agree to this policy.

2. Information We Collect

Personal Information: Full Name, Email, Phone Number, Address, Government ID (optional), Business Documents (for business), Profile Photo.

Property Information: Property Type, Description, IMEI, Serial Numbers, Chassis Numbers, Engine Numbers, PID, Ownership Documents, Purchase Receipts, Survey Plans, Certificates of Occupancy, Transfer Records.

Technical Information: IP Address, Device Info, Browser, Login Activity, Analytics, reCAPTCHA data.

Payment Information: Processed by Paystack; Propfile does not store card/bank credentials but stores transaction reference, subscription status, payment date.

3. How We Use Information

Account management, property registration, PID generation, ownership verification, fraud prevention, theft reporting, customer support, subscription billing, legal compliance.

4. Property Verification & Search

When a property identifier is searched, we may display registration status, ownership verification, property status (Active/Stolen/Blacklisted), and limited owner info where consent provided. Contact details only shown if owner gives explicit consent.

5. Sharing of Information

We do not sell personal data. We share with trusted service providers (Firebase, reCAPTCHA, Paystack) and when required by law, court order, or fraud investigation. Ownership transfers retain transaction records for integrity.

6. Data Security

We implement HTTPS, authentication controls, Firestore security, access restrictions, rate limiting, and abuse detection. No system is 100% secure.

7. User Rights

Access, correct, update, download, delete your data; withdraw consent; control visibility settings via your account.

8. Account Deletion & Retention

You may delete your account. Personal info is removed from active systems; property records may be anonymized. Certain records retained for fraud/theft prevention, legal obligations, and security watchlists.

9. Children's Privacy

Not intended for children under 13. We do not knowingly collect their data.

10. Fraud Prevention

Submitting false ownership claims or forged documents may result in account suspension, termination, or reporting to authorities.

11. Premium Services

Premium plans offer expanded features subject to active subscription status.

12. Limitation of Liability

Propfile is not a substitute for legal due diligence. We do not guarantee legal ownership or absence of disputes.

13. International Data Processing

Data may be processed and stored on servers outside your country. By using Propfile, you consent to such processing.

4. Property Registration & Verification

Registration does not confer legal title. Propfile provides a digital registry for verification purposes. Users must perform independent due diligence.

5. Prohibited Use

You may not use Propfile to register stolen property, launder assets, impersonate others, or circumvent security measures.

6. Premium Subscriptions

Premium features are non-transferable and subject to payment terms. Refunds are at the sole discretion of Propfile Systems.

7. Intellectual Property

All platform content, trademarks, and software are owned by Propfile Systems. You may not copy or reverse-engineer.

8. Limitation of Liability

Propfile is provided "as is." To the fullest extent permitted by law, we disclaim all warranties and shall not be liable for any indirect, incidental, or consequential damages.

9. Indemnification

You agree to indemnify Propfile Systems against claims arising from your misuse of the platform or violation of these Terms.

10. Termination

We may suspend or terminate accounts for violation of these Terms or applicable laws.
